Using Ideagen Mail Manager with New Outlook
Who is this article for?
Users wanting to use Ideagen Mail Manager desktop with New Outlook.
Ideagen Mail Manager desktop v15.0 build 2993 or later is required.
This help article shows you the basics of using Mail Manager desktop with New Outlook and the subtle changes required because of the differences with New Outlook.
This New Outlook functionality needs to be setup ahead of time before it will work.
1. Filing emails
To file an email:
- Open New Outlook.
- Send an email.
You should receive the Ideagen Mail Manager filing prompt after a few seconds. - Alternatively, click the Mail Manager icon with an email selected.
- The prompt should pop up as below.
In this early version, the location suggestion feature is not yet enabled. This will be released soon.
4. Drag and dropping emails
Just like in Classic Outlook, you can drag and drop to file emails using the filed folders after filing setting.
If you already use the Filed Folders after filing setting, you can just drag emails into filed folders on the right to have them file as normal.
If you use another after filing setting:
- Access tools from the icon tray.
- Hover Tools.
- Open User Preferences.
- Select Move to Filed folders, multiple Inbox sub-folder with the same description as the filing location.
- Click OK.
This will create an Outlook inbox sub-folder for every location you file an email to. You can then drag emails into these filed folders to have them file as shown below.
This is a one-way sync that happens every 5 minutes.
7. Adding a filing icon
You can add the Mail Manager filing icon to show in every email to make access easier.
To add the icon:
- Click the Three dots in the top-right of an email.
- Select Customize Actions.
- Tick Mail Manager under Apps.
- Click Save.
This will then add the small Mail Manager file email icon to every new email.
