How to use Mail Manager with New Outlook

Users For those wanting to use Mail Manager Desktop with New Outlook,
You must be running Mail Manager desktop v15.0 build 2993 or later.
This help article shows you the basics of using Mail Manager desktop with New Outlook and the subtle changes required because of the differences with New Outlook.
This article assumes you have set up Mail Manager with New Outlook by following the instructions here.
1. Initial Setup
Mail Manager with New Outlook requires the below setup before you can start, these are all outlined in the below setup help article.

These steps must be complete (detailed here)
a SharePoint admin has approved the app for your organisation (a Microsoft requirement).
- you must have the latest Mail Manager new outlook web add in installed.
- you must be using the correct Mail Manager version and you must have ticked the 2 preference settings to turn it on.
- Mail Manager in classic outlook menu buttons must be greyed out (confirming you are in New Outlook mode).
2. How to file an email in New Outlook
- Open New outlook then send an email, you should receive the Mail Manager filing prompt after a few seconds.
- Or select an email in your mailbox and click on one of the below Mail Manager web add in buttons:
The Filing prompt should pop up as below.
Currently in this early version the location suggestion feature is not yet enabled, this will be released soon.
- You can also file multiple messages using the select feature in New Outlook, then choose More Apps > Mail Manager in the selection menu on the right.
4. How to file with drag and drop in New Outlook
Just like Mail Manager in classic outlook you can drag and drop to file emails using the filed folders after filing setting.
- If dragging and dropping email into folders suits your workflow in New Outlook you can set this up as shown below.
- If you already use the "Filed Folders" after filing setting you can just drag emails into filed folders on the right to have them file as normal.

If you use another after filing setting, just change this using the instructions below:
go to the Mail Manager icon in your windows system tray (see point 6. below)
then go to Tools > User Preferences > After Filing > then choose Filed Folders. -
This will then make an outlook inbox sub folder for every location you file an email to.
you can then drag emails into these filed folders to have them file as shown below.This is a one-way sync that happens every 5 minutes.
5. How to revert back to Classic Outlook
Want to opt out?
To revert these changes, disable the setting by:
- Open User Preferences (from your system tray as shown below)
- Navigate to Tools > User Preferences > Updates
- Disable: "Enable Windows Desktop Support for New Outlook (Preview)".
- Click OK to save the settings
- Reboot your machine
- Open Classic Outlook
6. Accessing your Mail Manager settings and tools when in New Outlook mode
Note: Tools will no longer be accessible from the Mail Manager Ribbon and must be accessed from the hidden icons tray.
- Navigate to the Hidden Icons tray in the Task Tray in the bottom right hand corner where the clock is shown. Click on the up-arrow
- Right-click the Mail Manager icon. (the dark hexagon-shaped icon)
- Select any of the following features:
- Show dashboard... - Opens the Mail Manager Status Dashboard
- Restart Mail Manager - Restarts the Mail Manager Application.
- Search - Gives access to New Search and Classic Search.

- Open User Preferences
- Open Locations editor
- Open Snap n Send
- Check for updates - Updates Mail Manager Desktop installation.
- Mail Manager user manual - Accesses the Help guide.
- Run discover filing locations - Restarts Auto Discovery.
7. How to show the Mail Manager filing icon in every email.
You can add the Mail Manager filing icon to show in every email by using the below instructions in New Outlook.
- In New Outlook, click on the 3 dots at the top right of an email

then choose "Customize Actions"
- Tick the box for Mail Manager under apps as shown below.
This will then add the small Mail Manager file email icon to every new email.
