Troubleshooting Mail Manager AutoDiscovery with a file server or network folders

Users who can't access auto discovered network folder locations.
Admin access may be required for some of these steps
This article covers a number of reasons why auto discovered network folder locations may not be appearing and how to address them.
Mail Manager Auto Discovery should run a scan every hour looking for new and updated filing locations, several things can stop this process from working.
You can view if your Auto Discovery is working by going to Mail Manager > Tools > Locations
Then click on your collection and view the timestamp of the last run Auto Discovery scan, this should be recent (in the last few hours).
1. Check the setting is enabled
Follow the below instructions to test if you network folder Auto Discovery is enabled:
- Go to: Mail Manager > Tools > User Preferences > Local & Network Folders
- Ensure the below box is ticked:
2. Unable to access the Shared Configuration Folder
Another reason could be that your Ideagen Mail Manager cannot access the organisation's Shared Configuration Folder. Mail Manager Auto Discovery needs access to this folder to run.
To check access:
- Go to Ideagen Mail Manager.
- Select Status.
- Switch to Session log.
- Scroll to the top.
It should list your Ideagen Mail Manager Shared Configuration Folder path on the second line. You should also see "Mirror updating" and "Mirror updated" lines to confirm you have access.
If you don't see this line or see an error in your Session log, follow the steps to troubleshooting Shared Configuration Folder access issues.
3. Use the Mail Manager Auto Discovery testing tool to check you pattern file is correct.
Mail Manager Auto Discovery is based off a custom pattern file that matches your folder structure.
This pattern file is held in your Shared Configuration Folder and is called AutoDiscoveryFileSystem.txt you can use our Auto Discovery testing tool to check your pattern file works and you can see your Auto Discovery running in progress.

Your Auto Discovery pattern file also must adhere to these rules:

The testing tool will check for this correct syntax.
4. Check for and update the custom config line to force Auto Discovery to run.
Mail Manager has a feature to stop AutoDiscovery from running if it cannot reach the server or all drives,
This is designed for when users work from home without a VPN, so Mail Manager won't accidentally remove all your filing locations when the VPN is not connected.
Some businesses have a slow network or bad DNS and it stops FileSystem Auto Discovery running at all, even when in the office.
Please check for the special config line flag of - DiscoverOnlyWhenAllAccessible=1 (in the EmailFiling.cfg file)
1. Go to this folder - %AppData%\Oasys\Mail Manager
2. Open the file “EmailFiling.cfg” with notepad.
3. Update the line - DiscoverOnlyWhenAllAccessible=1 to say DiscoverOnlyWhenAllAccessible=0
4. Save the file
5. Restart Outlook.

5. Folders moved
Folders may have been relocated so the path doesn't match up with the pattern we are searching.
To resolve this, ensure the folders are still present in the default file path that matches your pattern file.
6. Non-existent filing folder
The folder may exist for the structure but the actual folder where the emails are to be filed may not exist.
To resolve this, create the folder manually for the location to be picked up by auto-discovery.
