1. Shared configuration folder
When you launch Outlook, Mail Manager first searches for its “Shared Configuration Folder.”
This folder contains the Mail Manager Default preferences, filing locations, and collections, along with any AutoDiscovery settings for project folders.
The shared config folder can reside in SharePoint or a Network folder.

The path to this folder is typically hardcoded into the Mail Manager installer during setup.
2. Locating the shared configuration folder
You can find the Shared Configuration Folder path under:
Mail Manager, Tools, User Preferences and then Shared Configuration Folder.
When Outlook and Mail Manager start, they check for the shared configuration folder path in two Windows registry keys.
First, it looks for the key: Master Config Folder in:
[HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Oasys\Mail Manager]
If found, it uses that path, e.g.,
"Master Config Folder"="G:\Mail Manager Config"
If not, it searches in:
[HKEY_CURRENT_USER\SOFTWARE\Oasys\Mail Manager]
If found in HKEY_LOCAL_MACHINE, users cannot modify it; if in HKEY_CURRENT_USER, they may modify it via user preferences.
Depending on the folder's hosting, you might need to add a prefix when updating the path: e.g.
Network File Server - No prefix
SharePoint - Prefix needed, e.g., Sharepoint:https://company.sharepoint.com/sites/...
Viewpoint - Prefix needed, e.g., Viewpoint:Company\Mail Manager\Mail Manager Config
3. Using the shared configuration folder
Mail Manager uses the folder's contents to manage user preferences and load collections automatically.
Included files are:
- AdminEmailFiling.cfg - Manages user preferences.
- AutoDiscoverySharePoint.txt - Helps discover accessible SharePoint filing locations.
- AutoDiscoveryFileSystem.txt - Helps discover accessible file system locations.
- Collections.txt - Loads or removes collections.
- Collection files - With a .mmcollection extension, these list filing locations.
The folder is regularly checked for updates, which are applied to client devices within minutes.
Permissions can be set to prevent unauthorised editing of folders or files when necessary.
