How to Set Microsoft 365 Preferences
Who is this article for?Mail Manager Administrators making config changes to Mail Manager.
Edit permissions to the Shared Configuration Folder is required.
Mail Manager includes an administrator tool to centrally update and control all user preferences across your organisation. These preferences are enabled via radio buttons and checkboxes which can be toggled on/off to suit your requirements.
The Refresh checkbox will ensure changes are applied to users machines through a forced refresh and Lock will prevent users changing a preference.

1. Microsoft Teams
Discover filing locations
- When enabled Mail Manager supports the filing and searching of messages in Microsoft Teams by discovering the Teams that you are a member of
- Avoids the need to manually add locations to a collection file.

2. Add your SharePoint tenant.
To connect to your SharePoint, you must add your tenant URL to Mail Manager.
- Your tenant URL will look like this: https://yourtenant.sharepoint.com
- it is the first part of your SharePoint web address
To add this:
1. Go to Mail Manager > Tools > User Preferences . Microsoft 365 > SharePoint > SharePoint Tenants
2. Click Update > Add
3. Then add your specific tenant URL and save.
4. You can also apply this to everyone via the admin preferences (see further reading below).
3. Microsoft Sharepoint
Discover filing locations
- Requires configuration before this option can be enabled. Contact:support@mailmanager.com for more information.
- Please note that this option is only available for subscription licence users.
Allow filing
- When selected, Mail Manager will show SharePoint locations in the filing window.
Allow searching
- When selected, Mail Manager will show SharePoint locations in the search window.
Enable SharePoint location picker
- Before manually browsing SharePoint folders you need to configure the SharePoint location picker (may have been pre-configured by Mail Manager Administrator)
- Select Update to manage which SharePoint Tenants to use.
- Select the Add button and when prompted enter the root URL of the SharePoint tenant you want to use.
- Create starting points from which browse SharePoint sites, equivalent to using drives in Windows Explorer.
- Add the relevant URL of the SharePoint site you want to start from and select OK.
