This article outlines the new features and improvements in Ideagen Mail Manager version 15.4. This release makes filing in New Outlook faster, improves the accuracy of suggested filing locations, and resolves issues reported by customers.
1. Features
Faster filing prompt in New Outlook
The filing prompt now appears noticeably sooner after you click Send in New Outlook. Mail Manager no longer waits for the sent email to sync to your mailbox before showing suggestions. It uses the email details directly, and the "Filed by" information is completed in the background.
New Outlook is ready before you click Send
Mail Manager now starts in the background as soon as you open a new email, reply, forward or saved draft. By the time you click Send it is already running, which takes around a second off each send. To get this improvement, your administrator needs to deploy the updated Mail Manager add-in manifest.
Quicker repeat actions in New Outlook
Mail Manager now remembers its add-in files and your sign-in for a short period, so repeat sends and filing actions respond faster. The first action after opening Outlook, or after your sign-in session renews (typically about an hour), can still take a few seconds longer.
More accurate suggested locations
Suggested locations now make better use of the conversation an email belongs to:
- Emails filed to SharePoint now contribute to conversation and content-based suggestions, in both Classic and New Outlook.
- Emails you file during the day now influence suggestions without restarting Outlook. Suggestions refresh in the background, every 30 minutes by default.
Because SharePoint locations now play a bigger part in suggestions, you may see the order of suggested locations change. If you use automatic filing (Filing Assistant), it may now file replies in SharePoint-filed conversations that it previously left alone.
Locations sync directly to OneDrive
Mail Manager now updates the filing locations, settings and licence it shares with the mobile app and Search directly in your OneDrive. This makes the order of recently used locations on mobile more reliable. To keep traffic sensible, "last used" updates are grouped and sent together.
Updated name in the Outlook ribbon
In New Outlook and Outlook on the web, the add-in now appears as "Ideagen Mail Manager". This prepares for Microsoft's upcoming ribbon changes.
2. Fixes
New Outlook not connecting on first use
Some users found New Outlook filing never started and no sign-in prompt appeared. This was mainly when Auto Discovery was turned off. Mail Manager now asks you to sign in to Microsoft the first time it needs to, then connects automatically. If you cancel, you won't be prompted again until Outlook is restarted.
Suggested locations for filed conversations in New Outlook
When you reply to or receive an email in a conversation you have already filed, New Outlook now suggests the location where that conversation was filed, in the same way as Classic Outlook.
Microsoft sign-in window crashing or hidden
Opening the Microsoft sign-in window could crash Mail Manager, or the window could open behind Outlook so the app appeared frozen. The sign-in window now opens reliably, on top of other windows. This applies to all Microsoft 365 connections, including SharePoint, OneDrive, Teams and Exchange.
Auto Discovery removing filing locations
In some cases a failed or empty Auto Discovery run could remove existing filing locations without warning. The default behaviour has been restored, so locations are only removed when a discovery run actually returns results.
Shared OneDrive folders not appearing in Search
Emails filed to a OneDrive folder shared from another person's OneDrive were saved correctly, but were not indexed and did not appear in Search. These folders are now indexed. Their emails can be found, opened and downloaded from Search.
Side panel messages unreadable in dark mode
In New Outlook dark mode, status and error messages in the Mail Manager side panel were invisible against the dark background. They now display with the correct contrast.
Security hardening
This release includes security and dependency updates. These include changes to how Mail Manager handles sign-in information when syncing locations, as part of Ideagen's ongoing commitment to a secure and compliant product.
3. Known limitations
- Microsoft 365 sign-in requires the default WebView2 sign-in engine. If the legacy browser engine has been turned on (EnableWebview2Authentication=0), Microsoft sign-in will not complete. We recommend keeping the default setting.
- Batch Cloud Filer and Batch PST Filing do not yet support another user's shared OneDrive folder as a destination. Creating new folders inside another user's shared OneDrive folder is also not yet supported.
