Using a Microsoft Teams location with Teams Chat Filer

Teams Files permissions are required.
If you prefer not to use SharePoint to store chat messages, the Teams Chat Filer can be set up to archive Teams messages to a Microsoft Teams channel for later retrieval instead.
Make sure you have the set up the Teams Chat Filer first!
This article shows you how to set up your Teams to facilitate that.
Your local IT will be needed to configure the Microsoft Teams integration with Mail Manager before you can follow the below steps.
1. Setting up a Teams channel
You need to identify one or more Teams channel you want to archive Teams messages to.
To set up a channel:
- Identify a Teams channel.
- Go to the Files tab.
- Create an Email Messages folder.
Teams Chat Filer will use this folder to archive messages.
2. Enabling location discovery
With the channel identified and folder created, it's time to configure Mail Manager to find this location.
To enable discovery:
- Open Tools.
- Select User Preferences.
- Go to Microsoft 365 (under Integrations).
- Tick Enable Discover File Locations under the Microsoft Teams section.
3. Discovering the location
With the settings enabled, you simply need to wait for Mail Manager to sync this new location. It will appear within your local Mail Manager locations list.
To speed this up, you can run the Run discover filing locations task from the Mail Manager system tray icon.
Now that the location exists, it should be visible from Teams Chat Filer to use.
4. Troubleshooting discovery issues
If you find your location is not showing in Teams Chat Filer despite appearing in your Mail Manager locations list, try marking the Teams location as Used.
4.1. In Locations
To mark a location as used:
- Open Tools.
- Select Locations.
- Locate the Teams location in the list.
- Click Mark as Used.
- Navigate to Teams Chat Filer to see if the location is now visible from the locations list.
4.2. In Outlook Search
Alternatively, you can do the same from the Outlook Search window.
To mark a location as used:
- Open Search.
- Select Open the new search.
- Locate your Teams channel in the list.
- Click the entry to mark it as Used.
The location should now appear in your Teams Chat Filer list.
