Consolidating Mail Manager licenses

Customers who want to consolidate Mail Manager licenses.

You can consolidate Mail Manager licenses when one company has acquired another or when you have multiple license keys for historical reasons.
Understanding license consolidation
License consolidation involves two parts:
- Billing consolidation (handled by the Mail Manager finance team)
- Changing license keys on computers (optional)
Note: Changing license keys on computers is not mandatory. You can continue to view and manage two separate licenses in the Mail Manager license portal, though consolidating to one key may simplify license management.
Requesting billing consolidation
To consolidate the billing side of your licenses:
- Email the Mail Manager finance team with all relevant details.
- Wait for the finance team to complete the billing consolidation.
Consolidating installations to one license key
If you want all Mail Manager installations to use the same license key, you need to complete the following steps.
To prepare for license key consolidation:
- Decide which license key you are keeping and which one you are discarding.
- Update the license count on the key you are keeping to reflect the total number of users.
- Obtain a list of users from the Mail Manager license portal who need to change to the new key (those currently using the old key).
- Provide this list to your IT department.
Your IT department will then need to run a script on all computers using the old key to switch them to the new key.
Updating the license key on computers
This section provides technical instructions for your IT department to update the Mail Manager license key and password.
To download the required batch file:
- Go to https://upd.Ideagen Mail Manager.com/public-uploads/20250926_013335Z-ChangeLicense.bat.
- Download the batch file.
To configure the batch file with your new license details:
- Open the batch file with Notepad.
- Change the licence information by replacing
set accountid=#INPUT LICENCE NUMBER#withset accountid=new key id(using your actual new key ID). - Change the password information by replacing
set code=#INPUT PASSWORD#withset code=new password(using your actual new password). - Save the batch file.
To deploy the license change:
- Run the batch file on a test Per User Mail Manager computer as the user (not as Administrator).
- Confirm that the license change is working correctly.
- Deploy the batch file at scale to all computers using the old license key.
