No special permissions are required.
If you file emails to server or network folders and have never filed to SharePoint or OneDrive in Mail Manager, you need to connect Ideagen Mail Manager to Microsoft's Graph API before using the New Outlook feature.
1. Adding the SharePoint tenant
You must add your SharePoint tenant to your Mail Manager Microsoft 365 settings to enable Graph authentication.
To add your SharePoint tenant, follow these steps:
- Go to Tools.
- Select User Preferences.
- Choose Microsoft 365.
- Add your SharePoint tenant details. (for example https://yourtenantname.sharepoint.com)
For detailed instructions, refer to the article on setting Microsoft 365 preferences.
2. Triggering the Graph authentication prompt
After adding your SharePoint tenant, you need to trigger the Graph authentication prompt. The Mail Manager output window will show errors about Graph API connection until you complete this step. You can use either of the two options below.
3. Using SharePoint AutoDiscovery to trigger authentication
This is the simplest option and works well for rolling out to all users, as you can enable it on the shared configuration alongside the SharePoint tenant.
Note: AutoDiscovery will not discover any locations if no configuration file exists. Check the shared configuration folder (listed under Tools > User Preferences > Filing at the bottom) for an AutoDiscoverySharePoint.txt file. If the file exists and you are not using it, rename it to AutoDiscoverySharePoint-unused.txt to prevent discovery attempts.
To enable SharePoint AutoDiscovery, follow these steps:
- Go to Tools.
- Select User Preferences.
- Choose Microsoft 365.
- Tick Discover filing locations under SharePoint.
To set this for all users, follow these steps:
- Hold Ctrl+Shift+E to open the shared (Admin) configuration.
- Tick Discover filing locations under SharePoint in the window that appears.
- Tick the refresh tick box on the right next to the updated setting.
To trigger the authentication prompt immediately, follow these steps:
- Click the Mail Manager icon in the system tray.
- Select Run discover filing locations.
This triggers the prompt immediately instead of waiting until the top of the hour when discovery normally runs.
4. Adding a temporary OneDrive filing location to trigger authentication
You can add a temporary manual OneDrive filing location to prompt the Microsoft Graph authentication login.
To add a temporary OneDrive location, follow these steps:
- Go to Mail Manager.
- Select Tools.
- Choose Locations.
- Click Add Location.
- Set Type to OneDrive.
- Click Browse.
- Log in to the SharePoint authentication window with your Microsoft 365 details.
- Log in to the Graph authentication window with your Microsoft 365 details.
