Explore the latest enhancements in Mail Manager 15.0 with significant improvements to batch filing capabilities, including enhanced tools for migrating shared mailboxes and introducing comprehensive .pst file migration functionality. This release also introduces the ability to move messages filed to ProjectWise locations, along with important bug fixes and performance improvements.
1. Features
Improvements to the Exchange Online Migration tool
This improvement addresses the challenge faced by customers in migrating shared mailboxes from Exchange Server to SharePoint. It streamlines the batch migration process by allowing users to upload a .csv file containing the details of the Shared Mailboxes to be uploaded, avoiding the need to upload each mailbox to the tool individually.
Key capabilities:
- Upload a CSV containing mailbox name, folder name, and destination path
- Automatic destination configuration from CSV data (destination option greyed out)
- Comprehensive text logging in %temp%\BatchCloudFiler with naming convention MultipleSharedMailbox_Upload_YYMMDD_HHMMSS
- Detailed summary showing total processed, successful uploads, failed uploads, duplicates, and source folder information
- Pop-up window displaying the number of items loaded and failed
- Direct access to log files via "Open Log" option

Batch file .PST files
This feature incorporates the ability to file Personal Storage Table (.pst) files. As a long-standing request for this feature, we are pleased that users can now file single or multiple .pst files using the new tool found in the Tools option on the Mail Manager ribbon.
The feature allows users to:
- File a Single PST File: Use the Tools menu to select and file a single PST file by navigating to a local folder and choosing a Mail Manager location using the location picker.
- File Multiple PST Files: Select multiple .pst files and specify a single Mail Manager location using the location picker. The tool will handle the process of filing each .pst file to the chosen location, streamlining the filing process.
- File Multiple PST Files Using CSV: Use a CSV file to define multiple PST files and their destinations. The CSV supports .pst filepath, Folder Name, Location, and Protocol columns with support for Procore, Synergy, ViewPoint, Huddle, SharePoint, Teams, OneDrive, ProjectWise, and File Server protocols.
Enhanced capabilities in this release:
- Flexible folder naming: If you're unsure of the folder name, it can be left blank in the CSV. When blank, Mail Manager will file all messages within the .pst regardless of folder name, providing greater flexibility for bulk operations.
- Comprehensive logging: Log files are automatically generated - for single or multiple .pst filing, logs are contained within the Destination folder; for CSV-based filing, logs are stored in the folder containing the CSV file.
- Enterprise scale support: The tool supports filing thousands of .pst files, with any parent folder supported for filing and recursive folder processing.
- Performance optimized: Outlook performance is not impacted during the filing process.
Known limitations:
- Nested folders are not supported for .csv folder named levels (e.g., Inbox/Emails/Project123)
- Duplicate folder hierarchy is not supported

Move messages filed to ProjectWise locations
This release now supports moving messages from ProjectWise locations to another Mail Manager location, providing enhanced flexibility in managing your filed content.
You can access this feature by selecting a message from the search UI or from the Mail Manager Dashboard that displays your recently filed messages. This functionality enables you to reorganize your filed emails as project structures evolve or filing requirements change.
Key benefits:
- Relocate emails between ProjectWise folders without re-filing
- Accessible from both Search UI and Status Dashboard
- Maintains email metadata during the move operation
- Supports moving to other Mail Manager-supported storage locations
Rebrand
A minor change in branding from black to dark green icons as well as ensuring through-product consistency of naming is included in this release.
2. Fixes
- Procore filing permissions: Filing to Procore caused errors when the user was not an administrator of the project. This latest release resolves this so that a general user within the Procore user configuration can file messages to Procore locations without displaying errors. The implementation uses a streamlined single-step algorithm for improved reliability.
- Filed Folders unassign function: The observation that Filed Folders do not always become unassigned (i.e. disconnected from the user's location) when selecting the Unassign function has been resolved.
- ViewPoint New Search functionality: Resolved critical issue where users could not open emails from ViewPoint using the New Search feature. Users can now successfully open filed emails, copy them to the clipboard, and export multiple emails to zip from ViewPoint locations using the New Search interface.
- Web Add-In behavior: The "Keep Open After Filing" functionality is now permanently enabled for the web add-in. When using pinned add-ins, the add-in pane will remain open after filing to provide a consistent user experience.
- SharePoint StoreID format: Corrected the StoreID format for auto-discovered SharePoint locations, ensuring proper filing and retrieval operations for SharePoint-based filing locations.
- Dashboard window stability: Fixed issue where the Dashboard window would automatically close unexpectedly, ensuring uninterrupted workflow when reviewing recently filed messages.
- Web Add-In metadata population: Resolved issue where metadata was not being properly populated for items filed through the Web Add-In, ensuring complete information capture for all filed messages.
- PST Filer stability: Fixed critical issue where filing with Single .pst, Multiple .pst, or valid .csv files would cause the "File All Messages in .pst" window to crash, ensuring reliable batch PST processing operations.
- ProjectWise collection creation: Collections are no longer created when the corresponding location is not found in ProjectWise, preventing invalid location references.
- UTC date/time handling: Resolved multiple issues related to UTC date/time conversion that were causing incorrect query results and system exceptions during search operations.
- Windows 11 compatibility: Addressed Mail Manager Filer Core crashes occurring on Windows 11 Build 24H2 (October 2024 release), ensuring compatibility with the latest Windows operating system updates.
